Introduction
A UAN (Universal Account Number) is a unique 12-digit number assigned to every employee. This number remains the same throughout the employee's lifespan.
Employees can have multiple EPF accounts under a single UAN. All the employees who contribute to EPF become members of EPFO. When a person gets employed for the first time, the employer is supposed to get the UAN generated for the employee. The employer is also supposed to open an EPF account for the employee and deposit the monthly PF amount in this account.
The employer must give the employee the UAN and the EPF account number. If the UAN is not given to the employee, they can check it online. Once the employee knows the UAN, they can track the account. Some glitches, like incorrect names or information provided, may need to be corrected. All this can be done online through the UAN portal.
Use only the official EPFO Unified Member Portal at https://unifiedportal-mem.epfindia.gov.in/memberinterface/. EPFO services are free, and members should never share their UAN password, Aadhaar, bank details, or OTP with any agent.
How to Change Employee Name in EPF Account Online
Under the revised process, members whose UAN has been validated through Aadhaar can update their name and other profile fields themselves without uploading documents. Certain UANs obtained before 1 October 2017 may still require employer certification.
- Step 1: Open the EPFO Unified Member Portal at https://unifiedportal-mem.epfindia.gov.in/memberinterface/ and sign in with your UAN, password and captcha.
- Step 2: Open the “Manage” menu and select the joint declaration or profile-correction option shown in your account.
- Step 3: Choose the relevant member ID and select the name field. Enter the name exactly as it appears in Aadhaar.
- Step 4: Check the preview carefully. If the portal asks for supporting documents, upload only the documents listed for that correction under the current Joint Declaration SOP.
- Step 5: Authenticate the request with Aadhaar-based verification or OTP and submit it. Save the request or reference number.
- Step 6: Track the status inside the portal. If your case needs employer certification, contact the employer and ask them to act on the pending request.
Process to Change an Employee's Name (Offline)
The EPF form for the name change is a simple document. It is a letter addressed to the Regional PF Commissioner.
- Step 1: The Regional PF Commissioner must be the addressee of the letter. The subject of the letter must be a joint declaration made by both the member and the employer. The letter should state that they got the details wrong as employees in the organisation. This letter is being written to make the relevant corrections.
- Step 2:After filling out the form, mention the documents that will be submitted as proof of the changes.
- Step 3:Fill out the requisite form with all the relevant details. Sign the form and get it signed by the employer along with the seal. Attach a self-attested copy along with any documents required for KYC. Submit this form along with a copy of the documents to the employer. The employer has to send the application to the EPFO field officer.
- Step 4:The online Joint Declaration facility is now the primary route. Use the offline route only when the online correction cannot be completed, or an EPFO office specifically asks for a physical joint declaration. The applicable proof depends on the field being corrected and the portal’s current SOP.
Documents needed for name correction
A copy of any one of the following documents is required for correction in the name in the EPF account:
- Aadhaar card
- Passport
- Driving licence
- PAN card
- ESIC (Employees State Insurance Corporation) card
- Voter identity card
- Ration card
- Bank passbook copy
- Any education certificate
- A certificate issued by the registrar of birth or death
- Copy of utility bill (landline telephone bill, water bill, electricity bill) certificate of proof of service in State or Central Government Organization.
- Letter from a public servant or recognized public authority as proof of identity and the employee's residence.
How to Change Mobile Number Linked to UAN - Step by Step
The EPF member's mobile number is registered with the EPFO. It is also linked with the UAN. All updates related to the EPF account are conveyed to the EPF member through SMS. If the EPF member changes their mobile number, it should also be changed in the EPF account.
- Step 1: Visit the UAN portal and log in with your UAN and password.
- Step 2: Enter the captcha number and click on ‘Sign In’.
- Step 3: Click on the 'Manage' tab and then on ‘Contact Details’.
- Step 4: After clicking the button on the next page, one can view the option to change the mobile number and email ID.
- Step 5: The two boxes can be viewed here. One says ‘Change Mobile Number’ and the other says ‘Change Email ID.’
- Step 6: Click on the first option, 'Change Mobile Number’.
- Step 7: Upon clicking this option, an additional box will be seen. The current mobile number is supposed to be entered twice.
- Step 8: After entering the mobile number, click ‘Get Mobile OTP’ or ‘Get Authorisation Pin'.
- Step 9: The OTP will be received on the new mobile number.
- Step 10: Enter the OTP and click on ‘Submit’. Upon clicking this, the new mobile number will be submitted.
- Step 11: The mobile number can be changed from the Member Profile section after login.
If you have forgotten the password and cannot access the old mobile number:
- Open the Member Portal and click “Forgot Password”.
- Enter the UAN and the captcha. When asked whether the OTP should go to the registered mobile, choose the option for another mobile number.
- Enter the member’s name, date of birth and gender exactly as recorded with EPFO.
- Provide Aadhaar when prompted. After the details match, enter the new mobile number.
- Verify the OTP sent to the new number and create a new password.
How to Change Date of Birth in EPF Account
Aadhaar-validated UAN holders can normally request a date of birth change in the EPF account through the online Joint Declaration facility. The January 2025 simplification eliminated the need for document uploads, employer endorsements, and EPFO approvals for many eligible self-service corrections; only certain UANs issued before 1 October 2017 still require employer certification.
- Step 1: Log in at https://unifiedportal-mem.epfindia.gov.in/memberinterface/ with the UAN, password and captcha.
- Step 2: Open “Manage” and select Joint Declaration or the profile-correction option available in the account.
- Step 3: Select the relevant member ID and choose the date of birth as the field to be corrected.
- Step 4: Enter the correct date exactly as recorded in Aadhaar. Review every digit before proceeding.
- Step 5: Upload proof only if the portal asks for it. EPFO’s FAQ says that where the date in Aadhaar differs from the existing EPFO record by more than three years, a supporting document for the Aadhaar date of birth must be uploaded.
- Step 6: Complete Aadhaar authentication, submit the request and note the reference number.
- Step 7: If the portal routes the request to the employer, ask the employer to certify it. Otherwise, an eligible Aadhaar-validated request may be self-approved under the revised process.
EPFO lists a birth certificate, school or education certificate, passport, government service record or another reliable government document among the possible proofs for a date-of-birth correction.

How to Change Bank Account Details in EPFO
EPFO removed the requirement for employer approval after bank verification for seeding or changing the bank account linked to a UAN. The change is authenticated through an Aadhaar OTP and then matched through the bank/NPCI verification process.
- Step 1: Sign in to the EPFO Unified Member Portal at https://unifiedportal-mem.epfindia.gov.in/memberinterface/.
- Step 2: Open “Manage” and select “KYC”. Choose the bank option shown on the page.
- Step 3: Enter the new bank account number, confirm it and add the correct IFSC code. The account should be active and held in the EPF member’s name.
- Step 4: Save the details and authenticate the request with the OTP sent to the mobile number linked with Aadhaar.
- Step 5: Wait for bank/NPCI verification. This matching step is often described as penny-drop verification because the system checks whether the account and account-holder details match.
- Step 6: Return to the KYC page and confirm that the new bank account appears as verified or seeded before filing an online claim.
- Step 7: Enter the new bank account number and IFSC with Aadhaar OTP.
- Step 8: Do not try to change bank details while an EPF claim is pending.

How Long Does an EPF Profile Update Take?
- Mobile number: The official workflow confirms the change after OTP submission, so it is generally reflected immediately in the portal.
- Name and date of birth: Many Aadhaar-validated requests can now be self-approved without employer or EPFO approval. Certain UANs obtained before 1 October 2017 may still need employer certification, so their time can vary.
- Bank account: Banks usually need 3 days for verification but the timeline might differ across banks.

The EPF members can avail themselves of many services through the UMANG app and on mobile through SMS. The services provided are:
- UAN and its status (active or inactive).
- The details of EPF (Employee Provident Fund).
- Provident fund balance.

- Last contribution.
- OTP service for authentication.
What to Do If Your EPF Update Is Rejected?
A rejection usually points to a mismatch or an incomplete verification step. Common causes include a name or date-of-birth mismatch between Aadhaar and EPFO, an incorrect bank account number or IFSC, a bank account held in another person’s name, missing proof where the portal asks for it, or employer certification still pending for an older UAN.
- Read the rejection remark in the Member Portal. Take a screenshot and note the request or reference number.
- Compare the EPFO entry with Aadhaar and the bank record. Correct the source record first if Aadhaar or the bank itself contains the wrong information.
- If the request is pending with the employer, contact the HR or payroll team and share the reference number. Ask them to certify or reject it with a clear reason.
- If you are eligible for self-approval but an older request is still pending with the employer, EPFO says you may delete that request and submit a self-approved correction under the simplified process.
- If the issue remains unresolved, file a grievance at https://epfigms.gov.in/. Select “PF Member”, enter the UAN, choose the relevant PF account and upload the rejection screenshot and supporting proof.
