How to Register/Change Mobile Number in EPF Account

Introduction:

UAN (Universal Account Number) is a 12-digit unique number given to every employee. This number remains the same throughout the employee's lifespan. The employees can have multiple EPF accounts under this one UAN. All the employees who contribute to EPF become a member of EPFO.When a person gets employed for the first time, the employer is supposed to get the UAN generated for the employee. The employer is also supposed to open an EPF account for the employee and deposit the monthly PF amount in this account. The employer must give the employee the UAN and the EPF account number .If the UAN is not given to the employee, they can check it online. Once the UAN is known to the employee, the account can be tracked by the employee. Some glitches, like incorrect names or information provided, may need to be corrected. All this can be done online through the UAN portal.

9 Steps to Change Employees Name in EPF Account Online

Incorrect data submitted or mistakably entered into the EPF account will cause many problems for the employee when withdrawals are made. The name may have needed to be spelled correctly, or the person may have got the name changed. The change in the name of the EPF member can be done online. It can also be done offline. It should be rectified immediately.The online method of changing the name is as follows: Step 1: Visit the website of the UAN portal. Step 2: Log in to the EPF account with UAN and password. Step 3: Then click ‘Modify’, after which the person must click ‘Modify Basic Details’. Step 4: The details and options for the name change will appear on the next page. Step 5 : Fill in the name as per Aadhaar after clicking the ‘Request Change’ option. Step 6: After all the relevant details are filled in, click ‘Update’. Step 7: Once this tab is clicked, a notification will appear on the screen. It says, ‘Pending Approval by Employer’. Step 8 : Here the employee has to contact the employer and request the employer to approve. Simultaneously a message will be sent to the employer on his mobile number asking for approval of the employee's details. Step 9: After the employer’s approval, the EPF will take 30 days to change the employee's name.

Process to Change Employees Name (Offline)

The EPF form for the name change is a simple document. It is a letter addressed to the Regional PF Commissioner. The format to be followed is:

  1. Errors in the name
  2. Errors in the father’s name or the husband’s name
  3. Errors in PF or EPF account number
  4. Errors in the date of birth
  5. Mistakes in the date of joining an organization
  6. Mistakes in the date of leaving an organization
  1. Affixing the name to the form and signing it.
  2. Name of the authorized signatory of the previousorganization
  3. This authorized signatory must also sign the application form and affix the company seal.
  1. The letter must be addressed to the Regional PF Commissioner.
  2. The subject must be - Joint declaration by the member and the employer.
  3. The letter should state that they got the details wrong as employees in the organization. This letter is being written to make the relevant corrections.
  4. In the form is a table with three columns. One column has the particulars already written, the following states correct and empty, and the last column states wrong and empty. These two blank columns must be filled in by the person requesting a name change.
  5. The particulars that are pre-filled are as follows:
  6. Enter the details that need to be changed. These changes can be made on the correct and wrong entry columns.
  7. After filling out the form, mention the documents that will be submitted as proof of the changes.
  8. Then the form has to be attested. This attestation can be done by:

Documents needed for name correction are:

A copy of any one of the following documents is required for correction in the name in the EPF account:

  1. Aadhaar card
  2. Passport
  3. Driving licence
  4. PAN card
  5. ESIC (Employees State Insurance Corporation) card
  6. Voter identity card
  7. Ration card
  8. Bank passbook copy
  9. Any education certificate
  10. A certificate issued by the registrar of birth or death
  11. Copy of utility bill (landline telephone bill, water bill, electricity bill) certificate of proof of service in State or Central Government Organization.
  12. Letter from a public servant or recognized public authority as proof of identity and the employee's residence.

The following steps are to be followed for specifically a change in the name:

  1. Fill out the requisite form with all the relevant details.
  2. Sign the form and get it signed by the employer along with the seal. Attach a self-attested copy along with any documents required for KYC .
  3. Submit this form along with a copy of the documents to the employer.
  4. The employer has to send the application to the EPFO Field Officer.

Some rules of EPFO to be remembered for name correction or name change are -

  1. The name change requires a joint application from the employer and the employee. This is because the name had been provided to EPFO by the employer.
  2. If the surname changes after marriage, or someone changes the name independently, they should fill out the prescribed form. This form has tobe submitted to the EPFO.
  3. If there is a name change in any official record or bank records, it is compulsory to make the exact change in the EPF database.

To change the Mobile Number in the EPF Account

EPFO has made provisions for sending updates to EPF members on their registered mobile numbers. These updates are sent through sms. Members of EPF can register their mobile numbers in the EPFO’s database. It can be done through the EPF member portal. The mobile number in the EPF account can also be changed through the UAN (Universal Account Number) member portal.

To Change the Mobile Number in the EPF Account (Online)

The EPF member's mobile number is registered with the EPFO. It is also linked with the UAN. All updates related to the EPF account are conveyed to the EPF member through sms. If the EPF member changes the mobile number, it should also be changed in the EPF account. To change the mobile number in the EPF account, follow these steps:

  1. Visit the UAN portal and log in with the UAN and password.
  2. Enter the captcha number and click on ‘Sign In’.
  3. Click on the manage' tab and then ‘Contact Details’.
  4. After clicking this on the next page, one can view the option to change the mobile number and email ID.
  5. The two boxes can be viewed here. One says ‘Change Mobile Number’ and the other ‘Change Email ID.
  6. For a name change, click on the first option, ' Change Mobile Number’.
  7. Upon clicking this option, an additional box will be seen. The current mobile number is supposed to be entered twice.
  8. After entering the mobile number, click ‘Get Mobile OTP’ or ‘Get Authorization Pin ‘.
  9. The OTP will be received on the new mobile number. Enter the OTP and click on ‘Submit’. Upon clicking this, the new mobile number will be submitted

How to Update the New Mobile Number if the Password is Forgotten

A person may face a situation where the mobile number has changed, and the EPF member, while trying to log in to the EPF account, forgets the password. In such a scenario, follow the steps given below to change the password as well as the mobile number: Step 1: Visit the EPF Member Portal and click on ‘Forgot Passport’. Step 2: Enter the UAN and enter the captcha number. Once this is done, then click on ‘Forgot Password’. Step 3: The EPF member must click ‘No’ to change the registered mobile number. Step 4: Enter personal details like name, date of birth, and gender of the employee. Click on ‘Verify’. Step 5: To verify the details, select PAN or Aadhaar . Then enter the details of the PAN/Aadhaar. Step 6 : Click on ‘Verify’ for validation purposes. Step 7: Once the details of the submitted ID are validated, enter the new number and click on ‘Get OTP’. Step 8: The OTP (One Time Password) is sent to the new mobile number. Enter this OTP and click on ‘Verify’. Step 9: Once the OTP is verified, the new password has to be entered here. This new password must be entered two times. Step 10: Click on ‘Submit’. After this, the new mobile number will be updated, and the new password will be changed. It will be updated on the EPFO portal.

The EPF Services Provided Through Mobile

The EPF members can avail of many services through the UMANG app and on mobile through sms. The services provided are:

  1. UAN and it's status (active or inactive).
  2. The details of EPF (Employee Provident Fund) .
  3. Provident Fund balance.
  4. Aadhaar, PAN and Bank account linking status.
  5. EPF withdrawal/transfer status.
  6. Last contribution.
  7. OTP service for authentication.
